Our clients experience friendship, hope and encouragement through positive and life-affirming medical and personal support services, education, and resources. We provide ultrasound exams, pregnancy testing and other medical services, counseling, outreach, material assistance and other free services

Position Summary:

The Director of Business Operations ensures the effective operations of the organization’s business functions including financial management, human resources, facilities and technology.

Time Commitment: Regular, exempt, salaried position 30 hours/week

Supervision: Executive Director

Essential Functions:

Human Resources

  1. Manage all aspects of the recruiting and hiring process including job postings, reviewing applications, coordinating interview process, background checks and new employee orientation
  2. Oversee and implement the payroll function, including coordination with contracted payroll provider.
  3. Ensure compliance with state and federal labor laws
  4. In cooperation with the Executive Director and at ED’s direction, coordinates training, professional development, and performance reviews

Facilities and Technology

  1. Manage relationships with landlords and other facilities-related vendors and ensure that facilities are fully functional for staff and clients
  2. Serve as liaison to IT service provider, coordinate staff IT requests and troubleshoot simple technology issues

Financial

  1. In collaboration with the Executive Director, coordinate the financial operations of the organization; ensure a strong relationship with contracted bookkeeping entity.
  2. Manage the budgeting and reporting process; prepare and analyze monthly financial statements for use by staff and board leadership.
  3. Manages banking accounts and relationships under the direction of the ED and the Board Finance Committee.
  4. Coordinate all aspects of the annual audit.

Staff Management

  1. Direct Supervisor of Bookkeeping staff
  2. Collaborative relationship with Director of Client Relations, Director of Clinical Operations, and Development Director

Other

  1. Oversee, manage and maintain filing systems for critical business documents
  2. Manage insurance policies and related claims
  3. Regularly review and ensure compliance with business operations-related policies and procedures
  4. Offer project-related support to the Executive Director and other directors as needed

General

  1. Respect and maintain client and organizational confidentiality at all times
  2. Maintain a respectful and collaborative working relationship with all Abria staff, volunteers, board members and the Medical Director
  3. Comply with all policies and procedures of Abria, and all laws, rules, regulations, standards and best practices appropriate to the position
  4. Maintain objectivity and follow strictly the chain of command directing staff to their direct supervisor

  1. Professional:
  • Education and Experience: Bachelor’s degree in business, Human Resources or financial-related field. 3 years experience in business operations preferably in a non-profit or community-based organization. Proficiency with Excel and other Microsoft Office applications; familiarity with accounting, HR management and donor management systems helpful and preferred.
  • Personal: Positive attitude and excellent communication skills. Very high detail orientation and leadership skills. Ability to positively relate to wide variety of staff and volunteers.
  • Relational: Ability to work as a team member and accept responsibility. Ability to act independently and seek consultation when needed.

  • Orientation to Abria Pregnancy Resources and on-the-job training with various staff.

Compensation:

  • Wage commensurate with experience
  • Paid personal time off and holidays as outlined in current Abria policies

Location: University/Vandalia intersection in St Paul as primary work site with frequent presence at the North Minneapolis clinic on Penn and Broadway, as well as off-site meetings and appointments as applicable.
