Abria Pregnancy Resources is a life-affirming organization serving women and families facing the challenges of an unexpected pregnancy. Our clients experience friendship, hope and encouragement through positive and life-affirming personal support services, education, and resources.  We provide ultrasound exams, pregnancy testing, pregnancy related life coaching, outreach, material assistance and other free services. The organization is an affiliate of Elevate Life.

Position Summary:

The Receptionist/Advocate strives to create a safe, welcoming, professional environment as the primary staff member who welcomes clients, volunteers, and donors at Abria.  The Receptionist/Advocate will maintain a respectful, helpful, working relationship with all Abria staff and volunteers and will help fulfill the mission of Abria by utilizing the most current factual information, striving always to be more proficient in each of our service areas.

Time Commitment: Regular, non-exempt, part-time position (up to 30 hrs/week)

Supervision: Clinical Services Director/Operations Director

Essential Functions:

  • Client Service: (50% time)
    1. Answer incoming telephone calls, answer incoming messages from digital platforms, assist callers, take messages, provide information, make community referrals, direct calls to staff members as needed.
    2. Schedule new and follow-up client appointments, documentation, data entry and maintenance of client database.
    3. Maintain social media pages, perform messaging via chats and other digital platforms with clients and volunteers.
  • Serve clients virtually or in person at the Minneapolis (or occasionally St. Paul) clinics following established policies, procedures, and protocols; ensure an integrated client experience throughout the client visit.
  • Complete Life Coaching courses to utilize life coach approach when working with clients in all programming areas.
  • Support clients using the most current factual information and striving always to become more proficient regarding the following topics or issues:
    1. Pregnancy options discussions;
    2. Basic pregnancy-related issues;
    3. Sexual Risk Avoidance (SRA);
    4. Natural Family Planning and fertility;
    5. Sexually Transmitted Infections (STIs) and Diseases (STDs);
    6. Assist clients to identify goals regarding parenthood/adoption that are consistent with their values.
    7. Navigate and build local resource database to meet our clients identified needs.
    8. Perform pregnancy test for incoming clients if nurses are unavailable.
  • Conduct initial intake and assessment for resourcing, coaching, client advocacy and education services.
  • Create and maintain detailed, confidential records of all client interactions.
  • Provide follow-up contact with clients when appropriate and possible.
  • Maintain inventory, appearance and organization of boutique, conduct client visits.
  • Collaborate among all staff to ensure appropriate and timely coordination of internal client support services.
    1. Maintain a professional, non-judgmental, and personable demeanor while working with a diverse clientele.
    2. Maintain a safe environment, using good judgment in contacting appropriate personnel as needed.
  • Office Responsibilities: (50% time)
    1. Assist Business Operations department with phones, IT, communications with vendors, bookkeeping tasks such as receive incoming donations, accounting, billing, HR paperwork, volunteer liaison, scheduling, coordinating cleaning volunteers, organization of office materials, coordinate supply ordering and communications and other tasks for the Northside clinic.
    2. Assist other departments with miscellaneous tasks as able.
    3. Accurately document all activities. Notify appropriate supervisor and/or manager of any critical incidents or emergencies.
    4. Communicate and route incoming paperwork and mail to appropriate staff members.
    5. Maintain a clean, welcoming lobby and Children’s Activity Center.
  • Respect and maintain client and organization confidentiality at all times.
  • Complete internal training through the Executive Director, Operations Director and/or Registered Nurse, and Clinical Services Director regarding all policies and procedures for the client intake process and for all internal referrals. Adhere to all policies and procedures related to client intake.
  • Maintain a respectful, helpful, working relationship with all Abria staff, volunteers, board members and the Medical Director.
  • Comply with all policies and procedures of Abria, and all laws, rules, regulations, standards, and best practices appropriate to the position.
  • Other duties as assigned.

  1. Professional: Effective interpersonal and communication skills, proficient computer skills and knowledge, and organizational aptitude.
  2. Education/Experience: High school degree or its equivalent. Relevant experience preferred working in a medical clinic, nonprofits, marketing, or fundraising.
  3. Personal: Ability to empathize with those in distress and give practical assistance; strong counseling and active listening skills; non-judgmental approach and attitude. Ability to work productively with a diverse group of staff and volunteers. Ability to occasionally to lift up to 20 pounds. Bilingual capabilities are a plus.
  4. Relational: Ability to work as a team member and to accept responsibility. Ability to act independently and to seek consultation when needed.

Training:

  • Elevate Life’s 16-hour affiliate training program.
  • Training and materials related to personal support service client referrals.
  • Orientation to Abria Pregnancy Resources and on-the-job training with the Clinical Services Director.

Compensation:

  • Hourly, part-time, 30-hour work week, including occasional Saturdays as needed, as a non-exempt employee
